Call management

You can’t always pick up.
Your customers still need an answer.

You might be with a customer, getting through a busy day or heading home for the evening. Calls and messages don’t always arrive at a convenient time.

We build AI phone assistants that can answer common questions, take the right details and help people book a conversation. Your team picks up with the information they need, with more time for the parts that need human judgement.

Keep enquiries moving

Give people a useful response when your team is busy or the working day has ended.

Less chasing. More context.

Bring the enquiry details together so your team can pick up the conversation.

Know when a person is needed

Pass more involved questions to someone with the experience and judgement to help.

What changes

A useful answer for callers.
Fewer interruptions for your team.

Give routine enquiries a place to go when your team is busy or the working day has ended. Agree what the assistant can handle and when a person should step in.

An AI phone assistant

Help callers while you get on with the job.

Set up an assistant to welcome callers, explain its role and help with agreed questions. It can gather the details your team needs and give callers a clear next step.

  • Cover agreed busy periods or calls outside working hours.
  • Answer common questions using information you approve.
  • Find out what the caller needs and take contact details.
  • Save a useful summary in your connected customer records.
  • Recognise questions that need your team’s attention.

Bookings and human handover

Make the next step clear.

Connect the conversation to your diary and your team where your systems support it. Set expectations when nobody is available to take over.

  • Check availability before offering an appointment.
  • Confirm the agreed booking details.
  • Transfer suitable calls to the right person.
  • Take callback requests when a transfer is unavailable.
  • Pass on the context gathered during the call.

Your team can give the person in front of them their attention, while incoming callers still have somewhere useful to turn.

Good call handling still needs people.

The assistant introduces itself as AI and works within a brief you approve. Your team handles sensitive conversations, unusual requests and decisions that need experience. We agree the handover, including what callers should expect when nobody is available.

Where it helps

What happens when
you can’t get to the phone?

Build the service around the calls you receive, the questions customers ask and the times your team needs cover.

Cover the busy parts of the day

Help with incoming enquiries while your team is serving customers, in meetings or concentrating on a job. Agree which calls should go to the assistant.

Give after-hours callers a next step

Answer approved questions or take a message when you’ve finished for the day. Explain when the team will be available instead of leaving the caller guessing.

Gather the right enquiry details

Ask the questions that help your team follow up: what someone needs, where the work is and how to reach them. Confirm important details with the caller.

Arrange appointments

Offer available times through a supported calendar connection and confirm the booking. If availability cannot be checked, collect a request for your team.

Answer familiar questions

Help with opening hours, service areas and other information you approve. Questions outside that information go back to the team.

Make the handover useful

Transfer a call where possible or arrange a callback request. Pass along a summary so the next person has a useful starting point.

See how it works

Which calls would you like help with?

Perhaps it’s answering calls while you’re busy. Perhaps it’s booking appointments or dealing with the same questions throughout the day. Start with a familiar task and see where an assistant could help, and where your team should stay involved.

Before you decide

What should I know before we start?

We check your phone and booking systems first. Setup, ongoing service and usage charges are separate items in the proposal.

How does the work move forward?

Understand the problem, agree the first stage, build and test, then hand over with clear guidance. You know what is included before committing.

What could missed enquiries be worth?

Explore your own assumptions. This is an illustration, not a forecast. It assumes recovered calls are new opportunities that would otherwise be lost.

FAQ

Frequently asked questions

Straightforward answers to help you decide what would work for your business.

What is an AI voice agent?

It is a phone assistant that uses artificial intelligence to have a conversation with a caller. We set it up to handle agreed jobs, such as answering common questions, taking enquiry details or booking an appointment where your systems support it. Anything outside that brief needs a route back to your team.

Will customers know they are talking to AI?

Yes. We make that clear at the start of the conversation. People should know who or what they are speaking to, and how to ask for a person. We agree how calls are transferred or callbacks requested, so customers know what happens next.

Can you add a chatbot to my existing website?

In many cases, yes. We check your website first, then add a chat window that fits your branding. We agree the questions it should answer, the information it can collect and when it should involve you. Before it goes live, we test it on phones and computers and check where enquiries arrive.

Can we keep our existing phone number?

We check your current phone service before proposing the setup. Call forwarding or another supported connection may let you keep the number customers already use. We confirm what is possible, any charges and the fallback before making changes.

How long does it take to get started?

That depends on the job, the systems involved and how ready your information is. A focused chat assistant usually needs less work than a phone service connected to bookings and customer records. After reviewing what you need, we agree a timetable that includes setup, testing and time for your team to try it.

How do you look after our business and customer information?

We start by agreeing what information the system needs, where it will be stored and who can access it. We check the proposed providers and settings, including how long information is kept and how it can be deleted. No system is risk-free. We discuss any limits before you commit and keep access to what the agreed job requires.

What if the agent does not know the answer?

It should say so and take a message or use the agreed handover route. It must not invent prices, availability or commitments.

Does it replace someone answering the phone?

It can cover agreed routine enquiries or periods when nobody is available. We decide which calls need a person and how that handover should work.

How do we test it?

Use normal enquiries, unclear answers, interruptions and requests outside its remit. Review the outcome and any failed handovers before putting the pilot into everyday use.

Let’s start with what you want to improve.

Bring a problem, a goal or an example of how you work today. We’ll discuss what would help and agree the scope and cost before work starts.
